Workflow and Tasks

Deactivated Users Visualisation

From this release onward, any deactivated user who was assigned as a workflow participant will now be clearly marked. This makes it easier to identify inactive participants and update them as needed, helping you maintain up-to-date workflows.

The Option to Defer Required Fields

Until now, when moving from one status to another, users were required to complete all mandatory fields before saving. With this release, users can now save their progress even if only part of the required information is filled in, allowing them to return later to complete the rest. This makes it easier to collect information gradually without missing or forgetting important details along the way.

Controlled Copy ID in Audit Trail

When creating a new controlled copy, the controlled copy ID is now captured in the audit trail.

Participant Sequencing in Audit Trail

In the system we have the option to set the participant sequencing, the order (sequence) of workflow participants is now captured in the audit trail, showing who signed first and who followed.

Automations & Reactions

Template Object and E-forms Supported in Automations

The Template object is now supported within our advanced automations framework. 
This enhancement allows automated reactions to be triggered based on templates and e-forms-related actions, making automation more versatile and adapted to your needs. 

Binder

Create and Check-In Control Documents Directly from Binder Folder

Users could previously create new control documents from within a binder folder, and they can now also check in files directly at the same time.
This improvement enhances document management efficiency by eliminating the need to open each control document record separately to upload the file after the record creation, allowing users to save time and stay focused.

Binder Visibility and Outputs from Parent Records

We now support using the binder structure directly from another parent record, such as a Product record.
This means you can access and use the binder output component directly from the parent record without needing to navigate to the binder record itself.

Option to Hide Open Binder Button on Parent Record

Following the previous enhancement, we’ve added the option to restrict the Open Binder button on parent records.
This helps keep users focused on the main record and prevents unnecessary navigation to the binder record when it’s not required.

Folder Visibility Controlled by Public Groups

Binder folder visibility can now be restricted or granted based on public group membership.
This feature allows organizations to control access more precisely, ensuring that only authorized users can view or edit specific folders.

Improved Linking – Show Only Unlinked Records

When linking records into a binder folder, the system now displays only unlinked records, meaning that if you’ve already linked this record, it will not be displayed.
This makes it easier to find and add new records without having to scroll through those already linked, thereby improving efficiency and the user experience.

Configurable Risk Output

This enhancement is relevant when using binders that include risks. The Risk Output is now configurable, meaning you can choose which columns to display in the list of risks table. This feature enables a customized view of risk data tailored to each organization’s reporting needs.

Relationship Improvement

We’ve expanded our relationship options and made it possible to create new records in the related item component via an item record, rather than directly as a child relationship. Until now, this option was enabled only with the option to link existing records as well.

This simplifies the creation process when no preexisting record are needed to be linked and provides more flexibility when managing related data.

Revision History

Configurable Revision Info Fields

The Information icon on the Revision History Component shows us all the essential information about this revision. The Revision History component now allows configuration of which fields are displayed in the revision information section.

Selected fields will also appear in the rendered revision history table of the document, providing better control over what information is highlighted in document history views.

Controlled Documents

Default PDF Rendition for Controlled Copies

The rendition setting controls the design of the PDF generated for each document type in the system.

In the previous release, we added the option to select a default rendition setting for all document types. In this release, we have extended this functionality to controlled copies. This means that every new document type created will automatically use the default rendition setting.

Batch Create Controlled Copies

Users can now create multiple controlled copies in a single action.
This enhancement accelerates the process of issuing copies and is particularly useful for document distribution.

Support Line Breaks in Document Headers and Footers

Document headers and footers now support the option to break the line as needed, allowing for a cleaner layout and better organization of content within a single field.
This provides greater flexibility in document design and helps maintain readability even for longer text values.

Allow Formula Fields in Controlled Copies

Formula fields can now be used within the controlled copies rendition.
This enables dynamic logic and data-driven customization within the controlled copies and renditions, making them more adaptable and informative.

Initial Version in Revision History Table

When the initial version of a document goes through the rendition process, the Revision History table automatically includes a comment in the Summary of Changes indicating that this is the initial version.

From this release onwards, you can now edit or remove this automatically generated comment and replace it with any value you prefer.

Document Collaboration

Expand Access to Document Collaboration

Until now, only the record owner and document reviewers have had access to edit the document when using our collaboration tool.

With our new release, in addition to document owners and process participants, we now have the option to grant access to additional users via lookup fields.
This provides more flexibility in defining who can edit and contribute during editing statuses.

Visibility for Non Access Users

From this upcoming release, we have the option to restrict visibility for users with different access levels to the collaboration. We could either disable the ‘Edit Online’ and ‘Save Minor Version’ buttons for users who don’t have editing access to the records, and in addition, we can restrict the component visibility to show only the document preview.

Training Management

Support All Users in Training Setting

With this upcoming release, we’ve enabled the option to assign trainign settings and generate tasks to all users in the system, regardless of their group or department affiliation.
This simplifies broad training coverage with a single click. 

Exclude Participants

When creating training settings and choosing a grouping method that includes participants of a process (for example, Reviewers or Approvers in controlled documents), we now have the option to exclude these participants so they won’t receive a trainign task. To do so, we need to click the Exclude Users Option, and a button will appear. This will prevent unnecessary tasks from being created in the system.

Email Manager on Training Failure

When creating a quiz in the system, we have the option to set the minimum number of questions to answer to pass the quiz and the number of allowed attempts. When a trainee fails a quiz after reaching the maximum number of attempts, the system now sends an email notification to both the trainee and their manager.
This helps ensure follow-up actions are taken promptly to support employee learning and compliance.

Parent Date Field in Training Setting

When creating the Trainign Setting for a Trainign Material or Controlled Document, we now have the option to set a due date based on a field on the parent record itself instead of just setting the due date automaticaly based on when the record became approved or effective. 

Training Report Based on Public Groups

On the home page, the Training Matrix Component now allows us to generate training reports based on public group membership, in addition to the existing filters by department, role, or title.
This makes it easier to analyze training results across flexible group structures.

Enhancements have been made to the automatic validation process, ensuring more reliable and consistent results during configuration updates.
