Document and Training

New Training Settings Feature UI

Our automatic training settings are a core Simploud feature for managing controlled documents and training materials, enabling efficient assignment of training per document. In this release, we are introducing a new design for this feature, focused on simplifying and streamlining the process, making it as intuitive and easy to manage as possible for users.

Blocking Parent Date Field in the Training Settings

In this release, we added the option to lock and grey out the newly added Parent Date Field in the Training Settings for customers who do not wish to use it. This allows organizations to simplify their training configuration and hide fields that are not relevant to their processes.

Change Training Settings Help Text and Lables in the new UI

In this release, we introduced the ability to customize field labels and the “i” (help text) within the Training Settings tab. Previously, these elements were fixed and could not be modified. With this enhancement, customers can tailor the wording to better match their internal terminology and also translate them into different languages, improving usability and supporting localization needs.

Uploading Files to Sharepoint

We added a new button when using the SharePoint integration. To make the transition to the SharePoint collab easier for existing customers and to handle cases where the integration breaks for any reason, we added a new button called ‘Enable Collaboration’. The idea behind the button is that in one click, the system will immediately upload the latest version of the document in Simploud to SharePoint and will sync the permissions. This means that from now on you won’t have to check in and check out the document or move a status to make the collaboration work in a certain document.

Expand PDF View in Status Effective

All PDFs, whether generated by Simploud or uploaded during data migration, will be displayed in the expanded iframe when the document’s status is Effective, making it easier to view effective documents, no matter their origin, in a straightforward manner. 

Require the Recalculation of Completion Rate upon Addition of User

We enhanced our completion rate calculation for customers using the automatic move to Effective based on Training. Previously, once a training reached 100% completion, adding a new user did not immediately impact the completion rate until that user completed the training. Now, when a new user is added, the completion rate is recalculated by a button click. The button appears on the “Tasks” component, ensuring the data always reflects the current assignment state.

Prints and Outputs

Removing Empty Fields from Prints

From this release onward, we introduced the option to automatically remove empty fields from record prints. Previously, empty fields were displayed with the value “(-None-)”. With this enhancement, upon request, empty fields can be hidden entirely from the print output. If all fields within a section are empty, the section title will still appear with a message stating: “All fields under this section are blank.” This improves the clarity and readability of printed records.

Translation in Record Prints

Until this point, we were able to present translated fields on record prints, but we weren’t able to present additional sections or files of information that are not the fields themselves. With the release, we can perform a full translation to the record print (including sections, related items, & Files)

Include Object Item files in the Record Print

Currently, in Report Prints, only attachments that are directly attached to the main object are shown as links. From this release onwards, files connected via the item object can also be included in the print, including those connected via file tables, etc.

Print All Forms Created From the Same Template

Until this point, if a record has multiple forms created from the same template, the print shows only the latest one. Forms created from different templates appear correctly.

With this new release, we can present all forms associated with this record, even if a specific form has been performed multiple times.

Automations & Reactions

Creating Preventive Automations on Item Objects

Until now, we haven’t been able to create preventive automations on these item records, for example, to prevent tasks created via the table from having due dates not in the past. From this release, we do have the option to use this type of preventive automation for any usecase you will require.

Tables and Related Items

Horizontal Scrolling for Tables

This visual feature was added to make the flexi tables interface more accommodating and comfortable, allowing you to add all the fields your table requires without affecting the view of the information within the table itself. 

Time Fields for Tables

Until now, fields that included the time of day in flexitables had a format with many zeros and Zs. We modified the format to be easier on the eye.

Users and Security

Add Identity Packages

In this release, we introduced Identity Packages, enabling a more efficient way to manage user access. Identity Packages have a many-to-many relationship with users and can include permission sets and public groups. This allows administrators to assign all relevant access, permissions, and group memberships to a user in a single action, based on their role or required activities in the system, significantly simplifying and streamlining access management.

Instructions to Credentials not Valid and Reset Password

In this release, if a user attempts to digitally sign and their credentials are invalid, the system will automatically direct them to the relevant section on the Academy site, which shows common issues and how to resolve them. This guidance helps users understand the necessary steps to resolve the issue and successfully complete the signing process.

Clickable Assignment In the Simploud Administration

Until this point, when assigning users in the Simploud Administration, when assigning users to a certain group you could only assign one user at once. From this upcoming release, you will be able to choose multiple users for the assignment.

Select All and Unselect All in Simploud Administration

In addition we added the option to select all attributes or unselect all atributes making it easier to add multiple actions in one quiack action or remove all in one action.

Pagination For Simploud Administration

In this release, we improved the user management experience in Simploud Administration for customers with a large number of users. To enhance performance and usability, users are now displayed in batches of 50 at a time, reducing the number of queries and ensuring smoother operation for large-scale environments.

Users to Show to be Active by Default

Until this release, all users, including deactivated users, were displayed in the user list by default. Starting from this release, the system will display only active users by default, improving usability and making it easier to manage relevant users.

Sorting to Simploud Administration

In this release, we added the option to sort the user display by attributes such as profile name, department, and email, making it easier to navigate and manage users within the system.

It also supports ascending and descending orders.

Keep Position of Searching After Save

In this release, we improved the search experience in Simploud Administration when working with specific users. Previously, when searching for a particular user and performing actions such as assigning them to groups, the page would reload and clear the search results, requiring administrators to repeatedly search for the same user. Now, the system retains the search for that specific user even after such actions, allowing administrators to continue assigning access and managing permissions without needing to search for the user again.

Make the Assigned Button in Simploud Administration Clickable

To ease the use of Simploud Administration, allow to unassign user when the modal is open to allow faster usage and granting or revoking permissions

E-Forms

Ability to make "Calculated Value" for Date Time Questions in Templates

The form includes Start Date Time and End Date Time questions for a procedure. We would like to use a “Calculated Value” question to automatically show the procedure duration (End Date Time minus Start Date Time). At the moment, it works only with numeric fields. Write this as a customer improvement – that now, when using forms, you have the option to calculate the difference between two different date fields. This gives you the option, for example, to list the start time, list the end time, and the system will be able to present the duration in a calculated field

Add the Form Audit Trail to the Print

In this release, we introduced the ability to include the form’s audit trail in the forms print, enhancing traceability and allowing users to view and retain audit trail information within printed form records.

Electronic Binder

Binder - Add All the Searched by Fields to the Search result

There are fields used for searching when linking items to the binder folder. These fields are also used to filter the records based on the search term sent by the user. When retrieving records to the component we want to display these fields in addition to the existing information (see attached).

Enable Visibility Control on Folders

In this release, we expanded the ability to control folder visibility. Users can now define a view-only group for each folder, allowing selected users to access and view its contents without the ability to add or remove items. In addition, administrators now have the option to control the overall visibility of folders, including the ability to hide specific folders entirely from all users. This enhancement provides greater flexibility and control over access management.

Decide which Items to Add to the a New Revision

A new feature has been introduced to enhance the binder revision process, allowing users to select which items are carried forward to the next version. This provides greater flexibility and control, ensuring that only relevant elements are included in the updated binder.

Tasks

Required Fields in Tasks - Conditional Validation

Until this release, unlike other objects in the system, tasks did not support conditional logic on required fields, such as displaying error messages or enforcing validations when action buttons were pressed. Starting from this release, this capability is now available, allowing users to define conditions on required fields and apply validations accordingly, improving data accuracy and process control.

Auto Assigning Field Values upon Button Click

Starting from this release, this capability is now available, allowing users to define conditions on required fields and apply validations accordingly, improving data accuracy and process control.

Reminder Notification for Overdue Tasks

In this release, we enhanced the automatic reminder functionality for workflow tasks. Previously, reminders could only be configured to trigger before the due date. Now, users can also set reminders to be sent after the due date has passed, enabling better follow-up and improved management of overdue tasks.

Force Sign As - for the Participant

Currently, when using the role mechanism upon signing, the user assigning participants must select each participant’s signing role. With this release, it is now also possible to require participants to select their own signing role, providing greater flexibility while maintaining the existing functionality.

QR Format Addition

Right now, the default format of the generated QR code in the label maker is of type PNG. 

We have added the option to choose also SVG format.
